Notice Description

Newcastle University requires a system to support administrators and academics to manage research activity, throughout the project lifecycle. At present the University utilises three bespoke, in-house developed research management systems: 1. MyProjects: A post award project / document management tool. 2. MyProjects Proposals: A pre-award proposal costing tool. 3. MyImpact: A Current Research Information System (CRIS) in which information on publications, research and teaching evaluation activities is collected. My Projects: The University is seeking to replace MyProjects (see 1 above), with an option to replace MyProjects Proposals (see 2 above), dependent upon comparative functionality / integration issues / timescales. The current MyProjects system will soon come to the end of its life and needs to be replaced. It is used to manage all externally funded and strategic projects including research proposals and contracts and enterprise and business development related activities. The system manages around PS100m of external funding per annum and has approximately 2000 users. MyProjects Proposals: The MyProjects Proposals system is a bespoke project proposal costing tool. Our current system manages in excess of 3000 proposals per annum with a total value in excess of PS600m. The replacement system(s) will be an integral component(s) of the University's 'end to end' project management system and as such will be required to integrate effectively with other established systems including MyImpact, SAP (HR, Finance and Business Warehouse). This Prior Information Notice (PIN) is designed to alert the market to our future intent to tender for this requirement and to give prospective bidders the opportunity to indicate if they have an existing off-the-shelf solution that could meet our requirements. There will be an opportunity for presentations / visits to be arranged as part of this market research stage. We are interested to hear from prospective bidders with recent experience of supplying research management solutions of the nature described to organisations similar in size and complexity to Newcastle University.
