Summary of the contracting process

The Pioneer Housing and Community Group Limited procured remote off-site IT backup and disaster recovery services, including data storage services. The requirement covers hybrid protection for physical and virtual on-premises servers and Microsoft 365 workloads, including Exchange Online, SharePoint, OneDrive and Teams, as well as Microsoft Entra ID identities and access controls. Backup data is to be held in UK-based data centres or UK GDPR-approved cloud regions, encrypted and protected against alteration, deletion and ransomware. The service includes scheduled backups, monitoring and reporting, recovery of systems and individual items, disaster recovery testing, business continuity support, incident response and integration with the buyer’s IT service management system. Delivery is in Birmingham, England.

The procurement is complete and awarded under a below-threshold route. Assured Data Protection Limited was selected, and the contract is active. The contract was signed on 28 February 2026 and runs from 2 March 2026 to 28 February 2029. Its value is £123,120 excluding VAT and £147,744 including VAT. The process was a single lot. The published procurement information does not describe the evaluation criteria or explain how bids were assessed.

This award shows demand from a housing and community organisation for an integrated backup and disaster recovery service spanning on-premises infrastructure, Microsoft 365 and identity systems. A credible competitor for a similar requirement would need to protect around 15TB of data, support frequent backups and meet recovery objectives of 15 minutes for data loss and four hours for critical workloads. The service calls for secure UK data hosting, encryption, immutable or air-gapped backups, malware scanning and restoration testing, alongside 24/7 UK-based support and incident escalation. Suppliers would also need ISO 27001 and Cyber Essentials Plus certification, UK GDPR and NCSC-aligned practice, scalable capacity, AI-based anomaly detection, a self-service restore portal and ITSM integration. Energy-efficient or carbon-neutral data centres address the buyer’s sustainability objectives.
