Summary of the contracting process

The Royal Air Force Museum is exploring replacement 4D cinema attractions at its London and Midlands sites. The potential requirement is for the supply, installation and commissioning of a modern attraction at each site, with around 16 seats apiece. Systems could include motion seating, immersive audio, modern projection, environmental and special effects, and accessible design. Work may also cover removal of existing equipment, strip-out, design, testing and commissioning. The requirement includes ongoing maintenance and support. The Museum is seeking market information to shape its business case and future plans; the replacement scope and commercial approach remain under consideration. The attractions would be delivered at the Museum’s London and Midlands locations.

This process is at the planning stage and is preliminary market engagement, not an invitation to tender or commitment to procure. The Museum expects an online supplier briefing at 11:00 on 22 October 2026, engagement sessions at its Midlands site at 11:00 on 28 October and London site at 11:00 on 30 October, and supplier response forms by 17:00 on 13 November. It may hold follow-up discussions during the weeks commencing 16 and 23 November 2026. The potential contract period is 1 January 2027 to 31 December 2031. The final scope, contract value, procurement approach and commercial model have yet to be determined. Possible models include outright purchase, a supplier-funded concession or another structure; there is one planned lot.

This engagement is suited to suppliers able to deliver complete 4D theatre attractions, combining audiovisual and multimedia equipment with installation, integration, testing and commissioning. Relevant capabilities may include motion seating, immersive sound, projection, environmental and special effects, accessible design, removal of existing installations and ongoing maintenance and support. Suppliers with experience operating attractions or providing long-term technical support may be able to inform the Museum’s assessment of delivery and commercial models, including purchase and concession arrangements. The Museum is seeking high-level information on available technologies and solutions, indicative capital and ongoing support costs, delivery models and relevant supplier experience, rather than detailed proposals. Participation in the engagement is voluntary and gives no advantage or disadvantage in any later procurement; it does not itself offer a contract to bid for.
