Summary of the contracting process

The BBC intends to procure on-site live production playout servers for use alongside its move from site-based media asset management and editing systems to Jupiter Cloud, a cloud-hosted editing system. The servers will need to integrate with existing infrastructure at five sites across the United Kingdom. The existing setup includes studio playout servers and playout functions used by the newsroom, all controlled through a single media asset management system. Each site has multiple studios, with up to 15 at one site. This is a purchase of broadcast production server equipment, rather than the cloud editing system itself. The BBC is seeking options for providing the on-premises playout capability needed as editing moves to the cloud.

This procurement is at the planning stage: the BBC has stated its intention to buy, but has not issued an invitation to tender. It is carrying out preliminary market engagement through a request for information, with responses expected by 13 November 2026. The BBC expects the contract period to run from 3 May 2027 to 2 May 2028. The procurement is for goods, with one lot covering the server requirement across the five sites. The estimated value is above the applicable threshold, but no monetary amount is stated. No procurement procedure or award criteria are set out at this stage. The market engagement is an opportunity for suppliers to inform the BBC’s options before it develops the procurement.

This requirement is likely to suit suppliers with experience supplying and integrating on-premises playout servers for broadcast studios and newsroom production environments. Businesses able to connect server-based playout functions with existing site infrastructure, while supporting a transition to cloud-hosted editing, are relevant to the stated need. Suppliers should be prepared to address a multi-site deployment across the United Kingdom and installations serving several studios at each location. The BBC is seeking options, so suppliers with adaptable technical approaches and the ability to explain how their equipment would work with the current setup may be well placed to contribute during market engagement. The scale and technical fit of the proposed solution, rather than general-purpose server supply alone, are central to relevance.
