Notice Title
Direct Award Via Lot 5 Crown Commercial Services Postal Goods and Services Framework
Notice Description
The City of Edinburgh Council required to modernise the mailing services department, which receives, sorts and distributes incoming mail across the organisation. The current process is time consuming, labour intensive and carries data security risks as well as a high carbon footprint. The department is required to reduce labour and transportation costs while at the same time assuring a robust transfer of data to all departments. There is a recurring requirement for this service, but a one-off capital investment in hardware and software, including configuration, is required to move towards having a fully digital mail room.
Lot Information
Lot 1
The City of Edinburgh Council required to modernise the mailing services department, which receives, sorts and distributes incoming mail across the organisation. The current process is time consuming, labour intensive and carries data security risks as well as a high carbon footprint. The department is required to reduce labour and transportation costs while at the same time assuring a robust transfer of data to all departments. There is a recurring requirement for this service, but a one-off capital investment in hardware and software, including configuration, is required to move towards having a fully digital mail room. A direct award to Pitney Bowes was required due to the specific requirements of the project. The hardware required could have been sourced through a number of suppliers, but we required a complex solution, for which the software was key. Pitney Bowes were the only supplier who were able to demonstrate their ability to integrate the hardware with semi-automated indexing of the output into both Civica EDM (the document management system used by both income and benefits) and Microsoft SharePoint.
