Summary of the contracting process

The procurement process involves CalMac Ferries Limited, located in Gourock, UK, which has completed a tender for "Rolls Royce Engine Spare Parts and Scheduled Maintenance." This procurement falls under the goods category and was awarded on 29th June 2018. The procurement method used was limited, specifically an award procedure without prior publication of a call for competition, as the unique nature of the required OEM parts created significant technical challenges in maintenance. The process addressed specific needs tied to operational safety and regulatory compliance within the ferry transport industry.

This tender presents a valuable opportunity for businesses specialising in the supply of OEM engine parts and maintenance services, particularly those with expertise in the maritime sector. Companies that focus on high-quality manufacturing and can guarantee compliance with classification standards would find themselves well-positioned to compete in such tenders. The emphasis on value, reliability, and technical integration suggests that businesses offering strong customer service and a proven track record in similar projects are likely to be successful within this procurement landscape.

Procurement Information

If we were to obtain replacement parts from non OEM sources we risk using non approved components in machines that are part of systems critical to the safe operation of the vessel. We also risk contravening the rules of our classification society which if we contravene can adversely affect a vessels certification. Technical Integration: The OEM parts and spares are specifically designed to work in the installed equipment. No modifications will be required to equipment during maintenance or repair. Utilising a non OEM part is determined to represent a technical risk and may cause significant performance and/or safety issues. Physical Integration: The OEM supplied items has the same detailed specifications and tolerances of the items being replaced. Functional Integration: Performance of the OEM parts ensures the equipment performance and characteristics are designed to allow the equipment to function within a specified performance range guaranteed by the OEM supplier. Supplier Integration: Classification & MCA approval to certify the engines for continuing operation relies on performance guarantees that only the OEM supplier can provide. Contract deliverables: The critical contract deliverables that would not be able to be fulfilled by a third party are as follows: (i) Guaranteed engine performance (ii) Classification and Maritime Coastguard Agency approval and certification. (iii) Continuation of equipment manufacturer service, technical and safety bulletins (iv) Continuation of equipment manufacturer to service and repair equipment and warrant work. v) Guaranteed chain of custody from the approved supplier. 2. Disproportionate technical difficulties in the operation and maintenance of the existing goods or the installation; To ensure there is no future equipment performance issues. Rolls Royce do not appoint agents or distributors. Therefore the only way to guarantee original approved OEM parts is to go direct to the manufacturer. The maker's representative must carry out a supervisory role during installation work
