Summary of the contracting process

Supply Chain Coordination Limited, acting for NHS Supply Chain: Food, procures fresh food for NHS Trust customers through a non-exclusive dynamic purchasing system. The goods category covers dairy and bakery products; fresh meat, poultry and fish; fruit, vegetables and salads; and meat alternatives. The wider range includes prepared potatoes, milk, eggs, bread, morning goods and other fresh food. Delivery covers the United Kingdom, the Channel Islands, the Isle of Man, British Overseas Territories, Europe and the rest of the world. The process is suitable for small and medium-sized enterprises and voluntary, community and social enterprises. The selected suppliers’ awards relate specifically to dairy and bakery for the Greater Manchester Collaboration, and meat and poultry for University Hospitals Sussex NHS Foundation Trust.

This procurement has been awarded and the tender is complete. It used a selective procedure for call-offs from a dynamic purchasing system, with suppliers accepted into the product categories they applied for only after passing all mandatory award-process criteria. Clifton Dairies Ltd was awarded the Greater Manchester Collaboration dairy and bakery requirement, and John Sheppard Butchers Limited was awarded the University Hospitals Sussex NHS Foundation Trust meat and poultry requirement. The recorded award date is 10 November 2025. The award value is £200,000,000, in total for the procurement, and the stated contract period runs from 1 March 2029 to 31 March 2029. The underlying DPS is intended to run for at least seven years and applications are recorded as open until 28 February 2029.

This award demonstrates NHS demand for dependable fresh-food supply across distinct product categories and customer regions. A credible future competitor would need specialist capability in one or more of dairy and bakery, fresh meat and poultry, fish, fruit and vegetables, salads, or meat alternatives, with the operational capacity to supply NHS Trust requirements consistently. The outcome also shows that smaller specialist suppliers can secure category-specific NHS work: Clifton Dairies Ltd won a dairy and bakery requirement, while John Sheppard Butchers Limited won meat and poultry work. Relevant businesses should be able to evidence compliance with mandatory participation criteria, reliable sourcing and distribution, product quality control, and the ability to serve the particular NHS collaboration or Trust requirement targeted.
