Summary of the contracting process

The University of Brighton procured a managed internal print solution covering multifunction devices and printers for printing, scanning and copying across its three campuses in Brighton. The system must support follow-me printing and work with the University’s Pharos Uniprint environment. The requirement includes working with the University after award to determine the most suitable device deployment, reflecting reduced print demand. The existing estate was described as approximately 124 multifunction devices and 77 printers, with annual print volumes having fallen from 13 million to 3.7 million. The procurement is for print equipment and associated services, including print utility software and toner supplies.

The procurement is complete and Aurora Managed Services Ltd was selected. The award is dated 1 June 2026. The contract period runs from 1 December 2026 to 30 November 2031. The published award value is £0, so it does not provide a usable indication of the contract’s financial scale. The tender submission deadline was 23 May 2025 at 1pm. The procedure is described as “Other”, with no further method details. The available outcome information identifies one award and no lots. The University marked the opportunity as unsuitable for SMEs and voluntary, community and social enterprises. No evaluation criteria are stated in the available procurement details.

For suppliers assessing comparable work at the University of Brighton, this award demonstrates demand for an integrated print service combining multifunction devices, printers and compatibility with the existing Pharos Uniprint environment. A credible competitor would need to support follow-me printing and provide the technical capability to assess and optimise an installed fleet across three campuses, rather than simply supply hardware. Experience managing print infrastructure through a significant reduction in print volumes would be relevant, as the supplier is expected to work with the University on the right deployment. The stated estate—around 124 multifunction devices and 77 printers—indicates a multi-site requirement with a substantial installed base, while the SME and VCSE suitability settings signal that the buyer did not consider this procurement suited to those organisation types.

Notice Information

Notice Title

Internal Print Procurement - AWARD

Notice Description

The University is seeking a supplier who can provide multifunctional devices and printers to meet the University's internal print, scan and copy requirements. The delivered solution must be able to provide follow me print and be compatable with a Pharos Uniprint environment. The University of Brighton is currently located in three campuses with approximately 124 MFDs and 77 printers. Since Covid the print volume drastically reduced from 13 million prints per annum to 3.7 million prints per annum. Whilst the fleet has been reduced down to 124 devices from 154 it is felt the volume of print does not support the existing deployment. The supplier will therefore be required, post award, to work with the University to develop the optimum deployment for the University.
