Summary of the contracting process

The UK Research & Innovation is seeking tenders for a project titled "UKRI-2107 BAS Ice Core Storage & Transportation," which falls under the services category, specifically focusing on storage and warehousing services for irreplaceable snow and ice samples from polar and alpine glaciers. The procurement is currently at the planning stage, with a Supplier engagement day scheduled for 25th April 2022 at 10:00 AM, allowing potential bidders to ask questions and propose solutions via a Zoom session. Interested businesses can register by contacting the buyer's team at British Antarctic Survey in Cambridge, with the project details accessible through their e-sourcing platform.

This tender presents significant opportunities for businesses specialising in temperature-controlled storage and transportation services, particularly those with experience handling fragile scientific samples requiring meticulous care. Companies capable of providing a robust inventory management system and expertise in maintaining clean environments free from contamination will be well-positioned to compete effectively. The potential for the project to be divided into two lots—storage and transportation—further increases the scope for various vendors to participate and meet the specific needs outlined by the buyer.

STORAGE Storage of irreplaceable snow and ice samples from polar and alpine glaciers. Samples of high scientific value. Fragile samples, that require extreme care during transport and storage in a temperature controlled, clean environment. Currently stock level of 151 pallets. Equal to 181.2 m2, and 434.88 m3. The Archive could be separated into TWO storage areas, 1.CRITICAL SAMPLES APPROX 50 PALLETS WITH CONSTANT ACESS 2.ARCHIVE SAMPLES 100 PALLETS WITH OCCASIONAL ACCESS. The temperature set point of storage: -25degC. Any facility that could offer lower temperature storage may also be beneficial i.e. storage of -40degC for up to 10 pallets would be highly desirable, BUT NOT MANDATORY. Required; sample boxes to be stored in a clean environment, free of excess dust or potential contaminants; not to be stored with, or immediately adjacent to foodstuffs or other substances that cause cross contamination. Shared and accessible inventory. We require the new facility to have an inventory management system in place. Regular access to Critical Samples is required, with samples to be placed back in the correct filing place/ pallet. The filing and organisation of the samples is essential for maintaining a comprehensive and workable sample set for active use by the scientists. TRANSPORTATION - this could be published as a separate lot. Transportation from the storage facility to BAS and vice versa in temperature-controlled vehicles with a set point of -20degC and the temperature recorded for our records."
