Summary of the contracting process

Northumbria University is procuring Apple equipment and associated services through the North Western Universities Purchasing Consortium. The requirement covers Apple hardware and peripherals, including iPhone, iPad, Mac computers, displays, docks, cases, chargers, adapters, Apple Pencil, keyboards, mice, trackpads and audio products. It also includes AppleCare, warranty and support services, together with successor devices and new Apple product categories introduced during the agreement. The work is primarily the supply of computer equipment, supported by personal-computer repair, maintenance and support services. Deliveries and related activity are in the North East of England. This procurement has been completed and awarded through an open procedure as a framework agreement with up to four participants. The framework was signed on 16 September 2025 and has a value of £200,000,000. Its initial term runs from 1 September 2025 to 31 July 2027, with two possible 12-month extensions, giving a contract period ending 31 July 2029. The framework suppliers are Academia Ltd, XMA Limited, KRCS Group Limited and GBM Digital Technologies Ltd trading as Sync. A further active contract was signed with GBM Digital Technologies Limited on 7 September 2026 for £840,000. Evaluation used quality-scored questions and a sample bill of materials, weighted equally at 50% each. Electronic ordering and payment are supported.

This requirement is relevant to established Apple resellers, authorised technology suppliers and managed IT providers able to supply a broad and changing range of Apple devices at institutional scale. Credible suppliers need coverage across phones, tablets, laptops, desktops, accessories and successor products, supported by warranty, AppleCare, repair, maintenance and user-support capability. The outcome shows that the buyer values both service quality and the cost of a representative bill of materials, rather than product supply alone. The framework route also favours businesses able to work within consortium purchasing arrangements and support electronic ordering and payment. The awarded supplier group indicates that both large providers and a specialist SME can compete where they can demonstrate sufficient range, fulfilment capacity and dependable support for a university customer.

Northumbria University is seeking to appoint a single supplier under the NWUPC Framework (ITS3028 NW) to provide Apple Equipment and Associated Services. This includes, but is not limited to, current and future generations of Apple hardware and associated peripherals as released by Apple during the contract term, such as: *iPhone (including all current and subsequently released models and generations); *iPad (including iPad, iPad Air, iPad mini, and iPad Pro ranges, and any future iPad models); *Mac (including MacBook Air, MacBook Pro, iMac, Mac mini, Mac Studio, Mac Pro and any future Mac models or form factors); *Apple accessories and peripherals (including but not limited to Apple Pencil, Magic Keyboard, Magic Mouse, Magic Trackpad, AirPods and other audio products, displays, docks, cases, chargers, and adapters); *AppleCare and associated warranty/support services and *Any new product categories or successor devices introduced by Apple during the contract term that fall within the scope of the framework. The contract term will be 24 months, covering Apple purchase requirements during this period based on relevant requirements as scoped within the framework, including any new or replacement product lines Apple may release during that time.

Renewal: This Framework Agreement will commence on 01 September 2025 for an initial period of twenty three (23) months until 31 July 2027 with the option to extend the Agreement for two periods of twelve (12) months until 31 July 2029 subject to satisfactory Economic Operator performance
