Summary of the contracting process

The Royal Borough of Windsor & Maidenhead is currently in the planning stage of a potential tender titled "RBWM Tree Preservation Order Project". This initiative is focused on tree maintenance services within the region identified as UKJ in the United Kingdom. The aim is to evaluate and possibly modify some 2000 Tree Preservation Orders within the borough, ensuring their data alignment and accessibility on RBWM's website, along with updated mapping for easy resident access. Suppliers are invited to express interest and submit indicative costs by 12th March 2026, with the project contract expected to begin on 1st August 2026 and conclude by 31st July 2027.

This tender presents significant opportunities for businesses specialising in tree-maintenance services and data management, particularly those capable of handling large-scale inspections and modifications promptly. The project favours SMEs, providing them with the potential to grow by engaging in data alignment and public transparency initiatives. Participants with expertise in digital mapping, spatial information systems, and cost estimation related to complex projects would be particularly well-suited to compete in this opportunity to bolster their business prospects within the public sector.

Notice Title

RBWM Tree Preservation Order Project

Notice Description

RBWM is exploring options in relation to a tree preservation order (TPO) project. The borough has some 2000 TPOs, some of which contain anomalies or potential errors. They require investigation and the orders may need modifying to ensure they align with reality (e.g. whether there is even a particular tree existing to protect). This data alignment and collection activity constitutes the first part of the project. There is then a second part which looks at accessibility and sharing this information on RBWM's website (along with updated mapping/spacial information) for residents. There may be a sub-set of the 2000 (e.g. very recent TPOs) which do not require inspection; this is yet quantified to a nicety. RBWM is also exploring in-house options and is not committing to running a procurement process at this stage. At this juncture, RBWM is keen to explore market interest and, critically, explore tentative costings for this project. Interested suppliers should assume that all 2000 require some inspection and should present a total indicative cost (to include the transparency work in the latter part of the project). Any expressions of interest and potential costings should be e-mailed to joey.stanford@rbwm.gov.uk by 12/03 (1pm). Please ask any questions.
