Notice Description

Fairfax Multi Academy Trust (FMAT) is seeking to appoint competent and accredited Contractors to deliver statutory estates compliance services across its academies. The services include the inspection, testing, servicing, certification, and reporting of statutory compliance activities to ensure full compliance with relevant legislation, Approved Codes of Practice, and British Standards. The contract is divided into five Lots: * Lot 1 - Fire Safety Compliance * Lot 2 - Electrical Safety & Compliance * Lot 3 - Water Hygiene & Legionella Control * Lot 4 - Gas, Boilers & Pressure Systems * Lot 5 - Lifting Equipment & LOLER Compliance The Contractor(s) will be required to deliver all services in accordance with statutory requirements, approved service frequencies, and FMAT compliance requirements, with full certification and reporting uploaded to the Trust's compliance management system (HANDSAM). The contract will be for an initial term of three years with the option to extend.

Fire Safety Compliance

This Lot covers the provision of statutory fire safety compliance services across Fairfax Multi Academy Trust sites. Services include inspection, testing, servicing, certification, and reporting of fire safety systems and associated equipment in accordance with relevant legislation, British Standards, and guidance. The scope includes, but is not limited to: - Fire Risk Assessments - Fire alarm inspection and servicing - Fire alarm system testing - Emergency lighting inspection and testing - Fire extinguisher servicing - Fire door inspections - Smoke vent / AOV inspection and testing (where installed) The Contractor shall ensure all fire safety systems are maintained in a safe and compliant condition, with full certification and reporting provided and uploaded to the Trust's compliance management system within required timescales.

Options: The contract includes the option for FMAT to extend the initial contract term of three (3) years by up to two (2) additional years. The option to extend will be exercised at FMAT's sole discretion and will be subject to satisfactory contractor performance, continued compliance with statutory requirements, and ongoing operational need. Any extension will be applied under the same terms and conditions as the original contract.

Renewal: The contract will be awarded for an initial term of three (3) years commencing on 1 October 2026 and expiring on 30 September 2029. FMAT reserves the right to extend the contract for a further period of up to two (2) years, taking the maximum contract term to 30 September 2031. Extensions may be applied in increments of up to twelve (12) months and will be subject to satisfactory Contractor performance, continued compliance with statutory requirements, operational requirements, and FMAT approval. FMAT reserves the right not to exercise any extension option.

Electrical Safety & Compliance

This Lot covers the provision of statutory electrical compliance services across Fairfax Multi Academy Trust sites. Services include inspection, testing, servicing, certification, and reporting of electrical systems and installations in accordance with relevant legislation, British Standards, and guidance. The scope includes, but is not limited to: - Fixed Wiring Inspection & Testing (EICR) - Distribution board inspections - RCD testing - Portable Appliance Testing (PAT) - Lightning protection inspection and testing (where installed) The Contractor shall ensure electrical systems are maintained in a safe and compliant condition, with full certification and reporting provided and uploaded to the Trust's compliance management system within required timescales.

Options: The contract includes the option for FMAT to extend the initial contract term of three (3) years by up to two (2) additional years. The option to extend will be exercised at FMAT's sole discretion and will be subject to satisfactory contractor performance, continued compliance with statutory requirements, and ongoing operational need. Any extension will be applied under the same terms and conditions as the original contract.

This Lot covers the provision of statutory water hygiene and Legionella control services across Fairfax Multi Academy Trust sites. Services include inspection, monitoring, testing, servicing, and reporting of water systems in accordance with relevant legislation, Approved Codes of Practice, and guidance. The scope includes, but is not limited to: - Legionella risk assessments - Hot and cold-water temperature monitoring - TMV inspection and servicing - Little used outlet flushing - Cold water tank inspection - Cold water tank cleaning and disinfection (risk based) - Legionella sampling and analysis where required The Contractor shall ensure all water systems are maintained in a safe and compliant condition, with full certification and reporting provided and uploaded to the Trust's compliance management system within required timescales.

Options: The contract includes the option for FMAT to extend the initial contract term of three (3) years by up to two (2) additional years. This Lot covers the provision of statutory gas safety, boiler servicing, and pressure system compliance services across Fairfax Multi Academy Trust sites. Services include inspection, testing, servicing, certification, and reporting of gas systems, boilers, and pressure systems in accordance with relevant legislation, manufacturer guidance, and industry standards. The scope includes, but is not limited to: - Gas safety inspections and certification - Boiler servicing and maintenance - Gas appliance servicing - Gas interlock testing - Flue inspection The Contractor shall ensure all gas and pressure systems are maintained in a safe and compliant condition, with full certification and reporting provided and uploaded to the Trust's compliance management system within required timescales.

Lifting Equipment & LOLER Compliance

This Lot covers the provision of statutory lifting equipment and LOLER compliance services across Fairfax Multi Academy Trust sites. Services include inspection, testing, thorough examination, certification and reporting of lifting equipment in accordance with LOLER 1998, associated legislation and relevant guidance. The scope includes, but is not limited to: * Passenger lift inspections and thorough examinations (where installed); * LOLER inspections and statutory examinations; * Hoists and specialist lifting equipment inspections; * Associated certification and reporting. The Contractor shall undertake all statutory inspections, examinations, testing, certification and reporting activities applicable to the awarded Lot. The Contractor shall identify and report defects, non-compliances and recommended remedial actions arising from the delivery of the Services. Maintenance, repairs and remedial works are not automatically included within the scope of this Contract and may be instructed separately by FMAT at its discretion. The Contractor shall ensure that all inspections, examinations and associated certification are completed within the required statutory timescales and in accordance with applicable legislation and industry guidance. Full certification, examination reports and associated compliance documentation shall be provided and uploaded to the Trust's compliance management system (HANDSAM) within the required timescales.

Options: The contract includes the option for FMAT to extend the initial contract term of three (3) years by up to two (2) additional years.
