Notice Description

Please note that this is a retender. The specification and scope are unchanged from the original competition. All previous suppliers are eligible to participate. The Industrial Dwellings Society (IDS) is seeking a qualified contractor to provide maintenance and responsive repairs for intercom systems across 47 communal blocks, covering a total of 1,466 flats. The scope of the contract includes: Annual inspections Emergency call-out coverage Real-time reporting Resident coordination Contractor responsibilities will include servicing and repairing: Intercom fascia panels Door entry systems Associated spare parts In addition, the contractor will be expected to: Meet defined response times Maintain all relevant certifications Comply fully with health and safety regulations Uphold standards in quality assurance, inventory control, and data privacy Where necessary, the contractor may also be required to carry out minor security and structural repairs to access points.

Options: Optional Replacement Works During the Term of the Contract, where the Authority identifies that an existing system, asset, or item of equipment has reached the end of its operational life, has become uneconomical to repair, or otherwise requires replacement, the Authority may request the Contractor to submit a quotation for the design, supply, installation, commissioning, and any associated works required for such replacement. Upon receipt of a request from the Authority, the Contractor shall provide a detailed written quotation within a reasonable timescale specified by the Authority. The quotation shall include, as a minimum, the scope of works, specifications, programme, and pricing. The Authority shall be under no obligation to accept any quotation submitted by the Contractor and reserves the right to obtain alternative quotations or procure the replacement works through a separate procurement process. Any replacement works instructed by the Authority and accepted in writing by both Parties shall constitute a variation to the Contract and shall be undertaken in accordance with the terms and conditions of this Contract unless otherwise agreed in writing. The inclusion of this provision does not guarantee any minimum value, volume, or frequency of replacement works to be awarded to the Contractor.

Renewal: The Authority reserves the right, at its sole discretion, to extend the term of this Contract for a period of up to 1 year beyond the Initial Term. Any extension may be exercised by giving the Supplier not less than three (3) months' written notice prior to the expiry of the Initial Term. The extension will be on the same terms and conditions as set out in this Contract, unless otherwise agreed in writing by both Parties.
