Summary of the contracting process

ACIS GROUP LIMITED intends to procure communal cleaning services for blocks and sheltered housing sites. The requirement is split into three lots, although the published scope currently describes one service line. The work covers accommodation, building and window cleaning services. Delivery is in the United Kingdom, with locations identified in the East Midlands and Yorkshire and the Humber. The buyer is ACIS GROUP LIMITED, based in Gainsborough. This is a service contract for organisations able to provide planned and routine communal-area cleaning across residential housing and sheltered sites, with the operational capacity to work across the relevant delivery areas. The requirement is intended to support the cleanliness and upkeep of shared spaces used by residents and visitors.

The procurement is at the planning stage and is not yet an invitation to tender. ACIS expects to use the market engagement exercise to gather supplier feedback on a draft Invitation to Tender and draft specification before refining the procurement. The engagement response period is expected to run from 19 August 2026 at 15:30 to 7 September 2026 at 17:00, with the next notice expected around 15 September 2026. The planned contract period for the identified lot is 1 April 2027 to 31 March 2030, with renewal provision potentially extending it to 31 March 2034. The estimated value is £1,000,000 excluding VAT, or £1,200,000 including VAT. Responses to engagement will not be evaluated as future tender bids.

This engagement will suit cleaning contractors with experience in communal cleaning for residential blocks and sheltered housing, including the management of shared areas and building or window-cleaning activities. Suppliers should be prepared to demonstrate practical delivery capacity across the stated East Midlands and Yorkshire and the Humber locations, supported by suitable staffing, supervision, scheduling and quality-control arrangements. The opportunity is marked as suitable for small and medium-sized enterprises, so established regional firms and capable specialist providers may be well placed to contribute. Businesses can use the engagement stage to review the draft specification, identify delivery or pricing considerations, and give informed feedback before the formal procurement reaches the market. It is a preparation opportunity rather than a tender exercise at this stage.
