Summary of the contracting process

Sherwood Forest Hospitals NHS Foundation Trust is exploring a managed equipment service or managed service for operating theatres and catheterisation laboratory services. The requirement may cover the supply and management of theatre and catheterisation equipment, installation, repair and maintenance of medical and surgical equipment, and associated service support. The Trust is seeking to understand available service models, market capacity, commercial options, risks, benefits and opportunities for innovation before deciding the final scope and route to market. The work is associated with operating theatre devices and instruments, medical equipment maintenance, surgical equipment maintenance and medical equipment installation. Delivery is expected across the United Kingdom, for services used by the Trust’s theatres and catheterisation laboratory operations.

This procurement is at the planning stage and is currently preliminary market engagement, not an invitation to tender, pre-qualification exercise or commitment to award a contract. The Trust intends to use responses to shape its requirements and support business case development; responses will be gathered for information and will not be evaluated or scored. Suppliers may request the Preliminary Market Engagement document and submit an expression of interest by 19:00 on 9 September 2026. The planned contract period is 1 April 2027 to 31 March 2037. The Trust has not yet decided the most appropriate scope or route to market. The process is structured as one planned lot covering the proposed managed equipment or managed service.

The engagement is suited to suppliers that can provide, operate or support medical equipment across operating theatres and catheterisation laboratories. Relevant businesses may include medical equipment manufacturers, managed equipment service providers, healthcare technology companies, specialist installation contractors, and providers of repair, maintenance and lifecycle support for surgical and diagnostic equipment. Strong participants are likely to be able to explain practical service models, demonstrate capacity to support NHS clinical environments, identify operational and commercial risks, and propose benefits or innovations. Experience coordinating equipment estates, planned and reactive maintenance, installation, replacement planning and ongoing technical support would be relevant. This is an opportunity to help shape the future requirement and understand the Trust’s priorities before any later competitive procurement.
