Summary of the contracting process

Sheffield Hallam University procured continued access to its existing Tableau enterprise business intelligence and data visualisation environment. The requirement covers Tableau software licences for the University’s analytics, reporting and data preparation needs, together with software maintenance, updates and support. It includes 30 Tableau Creator subscription licences, providing access to Tableau Prep, Tableau Desktop and Tableau Server, plus Tableau Server Core licensing for installation on two separate eight-core allocations. The procurement supports continuity of the University’s established Tableau environment while it reviews its longer-term business intelligence and analytics needs. The work is for Sheffield Hallam University and is delivered in Sheffield. The main category is software packages and information systems.

The procurement has been awarded and the contract is active. Sheffield Hallam University used a limited award procedure without publishing a separate competition, through the Crown Commercial Service G-Cloud 14 Framework, Lot 2 for cloud software. The Information Lab Limited was selected following the required framework search, shortlisting and evaluation process. The award was made on 7 July 2026, and the contract was signed on the same date. The contract value is £345,756.16. The stated contract period is initially two years, from 7 July 2026 to 6 July 2028, with an option for a further one-year extension subject to the University’s requirements and satisfactory performance. Price was the award criterion, and one bid was recorded.

This award shows established demand from Sheffield Hallam University for enterprise Tableau capability rather than a new implementation. Suppliers seeking comparable work would need to provide and support Tableau Creator subscriptions, including Tableau Prep, Tableau Desktop and Tableau Server, alongside Tableau Server Core licensing across two eight-core installations. Credible delivery would therefore require practical capability in licensing, configuring or maintaining Tableau environments, applying software updates, and providing responsive technical support. Experience supporting business intelligence, data analytics and reporting users would be relevant, particularly where service continuity matters while a university reviews its longer-term analytics strategy. Suppliers would also need access to the relevant cloud software framework route used for this purchase, or a comparable compliant route in any future procurement.
