Summary of the contracting process

Prospere Learning Trust is seeking grounds maintenance services across its schools. The work is divided into five lots: grounds maintenance at Wythenshawe schools; at schools identified as CHS, SOU, CEN and GRA; at PEA; at CAM, PRO and OHO; and maintenance of astroturf. This is a service contract for suppliers able to maintain school grounds and, for the fifth lot, astroturf surfaces. The named sites are grouped by school acronyms rather than full addresses; the procurement identifies delivery as being in the United Kingdom. Businesses can consider bidding for the lot or lots that match their geographic coverage and grounds-maintenance expertise.

The buyer invited offers through an open procedure. The procurement is split into five lots. The estimated value is £350,000 excluding VAT (£420,000 including VAT); lot 1 is valued at £150,000 excluding VAT (£180,000 including VAT), and each of lots 2–5 at £50,000 excluding VAT (£60,000 including VAT). The contract period is 1 March 2027 to 28 February 2030, with two possible 12-month extensions, to a maximum end date of 28 February 2032. The deadline for questions was 23 October 2026 at 12:00, and offers were due by 30 October 2026 at 12:00. Evaluation is weighted 60% quality and 40% price for every lot. An award decision was due by 1 March 2027.

The opportunity is divided into geographically and operationally distinct packages, including a larger Wythenshawe lot and four smaller lots, allowing grounds-maintenance businesses to target work suited to their teams and service area. The buyer marks every lot as suitable for small and medium-sized enterprises and for voluntary, community and social enterprises. Suppliers with practical experience maintaining school grounds should assess the school groupings against their ability to deliver consistently across the relevant sites. The astroturf lot is a distinct fit for businesses with experience maintaining artificial playing surfaces, while suppliers offering broader grounds-maintenance services may be suited to the other school lots. Quality carries more weight than price in the evaluation, so bidders should be able to demonstrate the quality of their proposed service as well as competitive pricing.
