The provision of records storage facilities is a two-level approach: - a managed in-house storage facility for inactive records which have a short term retention (2 years and less) and semi-inactive records requiring frequent retrieval, and - collection, storage, retrieval and possibly destruction service contracted to an offsite professional records storage company for records with a long term retention (over 2 years) and records requiring infrequent retrieval.

As part of the Information Management Strategy 2010-2015, the Council had identified the requirement to have a managed storage facilities to enhance control of its records and information. This will address obligations under the Data Protection Act 1998 and the forthcoming Public Records (Scotland) Act 2011. The Council had also initiated a major plan of works to rationalise office buildings (WorkSpace) as well as changing the way people work and where they may work from (WorkSmart). The managed storage of records is a key element for these major projects to deliver on their objectives.
