The Fire Safety Unit have the responsibility of managing and monitoring activities associated with Fire risk assessments There is a requirement for an integrated system(s) to manage the Fire Safety Unit's key activities so that data visibility, availability, accuracy, and reliability can be improved. These key activities are all driven by fire safety legislations, namely the Fire (Scotland) Act 2005 and Fire Safety (Scotland) Regulations 2006 as well as government statistics reporting (HESA) and relate to; Fire risk assessments Fire risk assessment action plans Fire drills Fire alarm tests Fires, incidents and fire alarm activations Currently, management of all this data is time consuming to collate, using a combination of MS Word documents, MS Excel spreadsheets and MS Access databases with multiple owners, and there are known data gaps in all the key fire safety areas being collected and recorded. The contract opportunity is for the provision of a Fire Safety Management System that can be used primarily by the Fire Safety Unit but accessed by specified staff such as Fire Stewards, Managers and Estates personnel from across the University. The solution will support the existing estate (approximately 400 premises spread across 5 campuses in and around the Edinburgh area) and will be capable of meeting the needs of the prioritised processes described further in this document. Please refer to mandatories above but in summary the critical elements of any proposed system must include: Fire Risk Assessments and Action Plans - solution enabling the scheduling, recording, scoring, tracking and sharing of Fire Risk Assessments including resultant outcomes, actions and action plans Fire Drills and Tests - solution enabling the scheduling and recording of fire drills and tests as well as the generation and sharing of operational reports Fires, Incidents and Alarm Activations - solution enabling the recording and tracking of fire, incident and alarm activations as well as the generation and sharing of operational reports (to be agreed with Security) Please also refer to the technical questionnaire which outlines further requirements and expectations which in turn align to the relevance of each weighted question..
