Summary of the contracting process

The Orkney Islands Council is currently engaged in the procurement process for the "Annual Inspection, Testing and Maintenance of PE Gymnasium and Fitness Equipment" contract, which falls under the works category. This tender, located in Kirkwall, aims to provide maintenance services at various OIC properties for a duration of three years, with a potential extension of one to two years. The open procedure for this tender, where bids were collected electronically, commenced on June 9, 2021, and is now complete, with the contract value set at £29,940. Key contact for this procurement is Caroline Paterson, reachable via email at caroline.paterson@orkney.gov.uk or by phone at +44 1856873535.

This contract presents significant opportunities for businesses specializing in fitness equipment maintenance and servicing, particularly those with experience in public sector contracts. Companies that are experienced in conducting detailed inspections and repairs of gymnasium equipment, along with strong capabilities in documentation and compliance with health and safety standards, will be well positioned to compete for similar future contracts. The continued need for these services indicates a steady market for firms within the sports and fitness industry, particularly those based in or servicing the Orkney region.

Notice Description

Lot Information

Lot 1

Annual inspection, testing and maintenance of fixed and moveable PE Gymnasium and fitness room equipment at various OIC properties for a contract period of 3 years with an option to extend 1-2 years upon agreement of both parties. There are 22 properties which are mainly schools and healthy living centres located on the Orkney Mainland as well as the outer islands. The contractor would be required to visit each property and inspect, test and maintain the equipment following which a detailed Inspection report should be issued. In addition to the certificate of annual inspection and servicing, the contractor shall prepare a schedule of repairs for all Fixed, Moveable, Trampoline and Fitness room equipment. It is Orkney Islands Council's preference that any Schedule of Repairs following the annual inspection be carried out before the contractor leaves Orkney and that a repeat visit is avoided. The Contractor may be required to carry out training to a specified person/s (who shall be confirmed by member of OIC Sport and Leisure staff) on how to carry out minor repairs to items of fitness equipment throughout the year.

Renewal: The works detailed in this contract are required to be carried out annually. When nearing the end of the contract period, this work will be advertised and contractors will be invited to submit tenders for the next contract period, which is again expected to be for a period of 3 years or following extension. The contract would be expected to be advertised 3 months prior to end of contract.
