Summary of the contracting process

National Museums Scotland is seeking a replacement environmental monitoring system for its museum collections. The requirement combines a telemetry-based monitoring system with sensors, gateways and repeaters as needed to measure temperature, relative humidity, light levels (lux) and ultraviolet radiation. It also includes a browser-based system, installation of the necessary hardware and software, customer support, regular maintenance and calibration services when required. The system is for use across the National Museum of Scotland estate, including the National War Museum, National Museum of Flight, National Museum of Rural Life and National Museums Collections Centre. This is a specialist service and equipment opportunity for suppliers able to provide an integrated monitoring solution across multiple museum locations.

The buyer invited offers through a restricted procedure, with an initial selection stage followed by invitations to five candidates to submit tenders. The tender submission deadline was 2 November 2026 at 12:00 noon. The planned second-stage invitation date was 9 November 2026. The single lot has an estimated value of £100,000. The initial contract period is 1,080 days, with a possible two-year extension by agreement between both parties. Bids must be in English, remain valid for 120 days after the submission deadline and cannot propose variants. The stated selection criterion is suitability; the second stage is limited to five candidates. The tender states that the opportunity is covered by the Government Procurement Agreement.

This opportunity is best suited to a supplier with proven experience supplying and installing environmental monitoring hardware and software, and the capability to maintain and support the system after implementation. The work calls for sensors and associated gateways or repeaters able to monitor temperature, relative humidity, lux and UV across a varied museum estate, alongside a browser-based monitoring platform. Suppliers need to be able to deliver a multi-site installation and provide regular maintenance, customer support and calibration when required. It may suit an established environmental monitoring or building- and collections-monitoring provider able to combine equipment, software and continuing technical services. The selection stage is restricted to five candidates, so bidders will need to demonstrate suitability to progress to the tender stage.
