Summary of the contracting process

National Galleries of Scotland is exploring a potential purchase of branded uniform garments for staff in hospitality and visitor-facing roles. The requirement is for ready-to-wear clothing drawn from a supplier’s existing off-the-shelf collection, with branding applied to the garments. The buyer is seeking market input to shape its procurement strategy and any later competition, with the aim of making the eventual route attractive to suppliers and supporting efficient delivery. The proposed goods fall within clothing and workwear supply. The buyer is based in Edinburgh, and the stated delivery area is the Edinburgh region. This is a potential requirement only: the buyer has not committed to purchasing the garments.

The process is at planning and is a request for information, not an invitation to tender or a competition. The buyer is consulting suppliers to gauge interest and gather views and information before deciding its procurement strategy. It has not set out a procedure for any future competition. The indicative estimated value is £90,000. Suppliers were invited to raise questions by noon on 3 November 2026 and return RFI responses by noon on 6 November 2026. A further notice was anticipated on 23 November 2026; this date is indicative and may change. The requirement is presented as one lot. These dates relate to the market-research exercise, not to a tender submission or a future contract award.

This market engagement is most relevant to uniform suppliers serving hospitality and visitor attractions, particularly businesses with an established range of ready-to-wear garments suitable for these roles. The buyer says suppliers should be able to brand clothing using print techniques, organise timely deliveries and offer a recycling solution for redundant uniform items. Suppliers able to combine stocked garments, customisation and end-of-life handling are therefore well placed to inform the buyer’s plans. The RFI gives businesses an opportunity to share views that may help shape the eventual procurement strategy and competitive tendering approach. It does not guarantee work, and no contract is being offered through this planning exercise.
