Summary of the contracting process

The National Army Museum is currently in the tender stage for a Digital Asset Management System, as part of their efforts to modernise the storage and organisation of their digital collections. This tender, with a classification under museum services, was last updated on 5th September 2025 and has a submission deadline of 19th September 2025. Located in London (SW3 4HT), the active procurement process utilises an open procedure that is designed for goods procurement below the threshold value of £50,000. The contract is scheduled to commence on 13th October 2025 and conclude on 31st March 2026.

This tender presents a unique opportunity for software vendors, particularly those specialising in digital asset management, to engage with a prestigious institution like the National Army Museum. With the procurement process being open to SMEs, small businesses with the capability of providing software development and maintenance services will find this a viable opportunity to expand their portfolio. The focus on the supply and ongoing support of a digital asset management system offers long-term collaboration potential, particularly beneficial for businesses aiming to establish themselves within the museum and cultural sector.

Notice Title

Tender for a Digital Asset Management System

Notice Description

The Museum implemented as asset folder structure to support the deployment of its digital collections management system in 1998. The structure was designed for storing and organising unique assets for algorithm-based retrieval, as well as offering tools and scripts for generating variant-sized versions and derivatives. These were developed and maintained in-house by the Museum's Technical Services team. The National Army Museum (NAM) is inviting software vendors to tender for the supply and ongoing support for a new Digital Asset Management system.
