Summary of the contracting process

The East West Rail Company is initiating a procurement process for office IT and AV hardware supply, installation, testing, and disposal, titled "RFI - Office IT / AV Hardware supply, Installation, Testing and Disposal - Supplier Event". This tender is currently in the planning stage, with an engagement end date set for 8th January 2020. The procurement will take place in Milton Keynes, with the intention to leverage the CCS Framework (RM3733 - Lot 1) Technology Products 2 (TP2) for future tender documents, which are anticipated to be released later in January 2020.

This tender presents an excellent opportunity for businesses specialising in IT and audiovisual services, particularly those offering integrated solutions for office environments. Companies capable of supplying, delivering, and configuring large volumes of equipment, such as computers, presentation systems, and networking hardware, would be particularly well-suited to participate. With around 600-650 units required, small and medium enterprises (SMEs) are encouraged to engage, especially those that possess expertise in efficient installation and environmentally responsible disposal of technology supplies.

Notice Title

RFI - Office IT / AV Hardware supply, Installation, Testing and Disposal - Supplier Event

Notice Description

The East West Rail Company is creating a new direct rail connection between Oxford and Cambridge, and beyond. Serving communities across the area, it will bring faster journey times and lower transport costs as well as easing pressure on local roads. Currently East West Rail is based in temporary offices in Central London but in Spring 2020 will be moving to new offices in Central Milton Keynes. The fit-out of the new office is subject to a previous separate tender (that separate tender covered the design and build of the new office, supervision of the fit-out and all materials such as fixtures, fittings, lighting etc). The proposed scope of this future tender is for IT and AV equipment only for the new offices. It is for the procurement, storage, delivery, un-packing, installation, configuration and testing of the IT/AV hardware including certified disposal of the associated packaging and waste materials. In addition, for the provision of all drop/patch cables, installation of any required software and configuration of hardware and software settings as well as the disposal/resale of some existing IT/AV Hardware. As a guide, the volume of the IT/AV hardware requirement is estimated to be circa 600-650 units including but not limited to meeting room conferencing/presentation equipment, laptops, screens, printers and keyboards. Specifics around the requirement and volume will be included within the future tender document. It is anticipated that the tender will to be launched later in January 2020. It is planned that the CCS Framework (RM3733 - Lot1) Technology Products 2 (TP2) will be used for the future tender. This purpose of this RFI is to gauge market interest and tender feedback via a supplier event to be held at our Central London offices on Friday 10th January 2020. Due to expected interest in the tender and limited spaces, participation maybe limited to one person per supplier. If you are interested in participating on the supplier event contact: iain.puddephatt@eastwestrail.co.uk Additional information: This is an RFI - An invite to a supplier event. The future tender and associated documents will be issued via a separate notice at a later stage.
