Summary of the contracting process

Derby Homes Limited procured fire sprinkler system servicing and repair for properties it owns or manages in Derby. The service covers mains-fed, booster-mains-fed and tank sprinkler systems, including scheduled and as-needed servicing, maintenance and repairs. The requirement is a building-services maintenance contract, with sprinkler systems as the principal work area (CPV 44115500; building installation repair and maintenance services, CPV 50700000). Work is carried out across Derby Homes’ property portfolio in Derby. The arrangement does not guarantee any particular volume or type of work: assignments may vary according to the properties and systems requiring attention. The buyer is Derby Homes Limited, a public-sector housing organisation managing the relevant properties.

The procurement is complete and was awarded through a below-threshold open competition. Three bids reached the final stage, all from SMEs. Derby Homes awarded the single lot to Nationwide Fire Sprinklers Limited on 16 February 2026 for £179,086 excluding VAT (£214,903 including VAT), against an estimated value of £180,000 excluding VAT (£216,000 including VAT). The contract was signed on 1 April 2026 and runs from 1 April 2026 to 31 March 2028, with two optional 12-month extensions potentially extending the maximum period to 31 March 2030. Evaluation weighted written quality answers at 40% and pricing at 60%. Electronic submission was allowed, with bids submitted through the specified e-sourcing tender box. The contract includes delivery, customer service and communication performance measures.

This award indicates recurring demand from Derby Homes for specialist fire sprinkler maintenance rather than one-off installation work. Suppliers seeking to compete when this requirement next returns would need practical capability across mains-fed, booster-mains-fed and tank sprinkler systems, covering planned servicing, responsive repairs and maintenance in occupied or managed housing properties. The buyer’s requirements favour a contractor able to organise work against priority codes, respond reliably when assignments arise and maintain clear communication with Derby Homes and its customers. Strong customer-service processes and evidence of consistent service delivery would therefore be important. The competition also shows that an SME-sized specialist can undertake the requirement, while credible pricing and clear written quality responses are central to the buyer’s evaluation.
