Summary of the contracting process

The Royal Berkshire NHS Foundation Trust is seeking suppliers for a hosted and fully maintained Orthopaedic Patient Reported Outcome Measures (PROMs) and outcomes reporting system/software. This is a significant tender in the medical software and hospital support services industry, specifically within the UKJ11 region of the United Kingdom, with the procurement currently in the planning stage. Potential suppliers are encouraged to engage with the Trust by 25th February 2026 to express their interest and capabilities. The tender process is initiated under the legal framework of UKPGA 2023/54. The planned contract period is from 1st November 2026 to 31st October 2029, with the possibility of renewal through 31st October 2031.

This tender poses strategic opportunities for businesses specialising in medical software and hospital support services looking to expand their footprint within the NHS framework. Organisations that can offer systems ensuring effective and efficient data collection, integration with existing electronic patient records, and minimal administrative overhead would be well-positioned to compete. Companies able to provide analysis and adaptive solutions to evolving NHS requirements would find significant growth potential. SMEs, in particular, are noted as suitable participants, making this an excellent entry point into the public health sector for businesses able to meet these criteria.

Notice Title

Orthopaedic Patient Reported Outcome Measures (PROMs) and Outcomes Reporting System / Software

Notice Description

The Royal Berkshire NHS Foundation Trust requires a hosted and fully maintained electronic orthopaedic Patient Reported Outcome Measures (PROMs) and outcomes reporting system / software that can be integrated with the Trust's Electronic Patient Record (EPR) system to enable seamless communication between the provider and the patients, with minimal administrative support from the Trust, which will ensure that the Trust remains compliant with its statutory reporting requirements. The system / software is to enable the effective, efficient and streamlined collection and uploading of Patient Reported Outcome Measures (PROMS) and National Joint Registry (NJR) data through a single, streamlined system by the supplier on behalf of the Trust to the below listed locations / registries at the base of this description. It is expected that the supplier would be largely independent in ensuring these reporting requirements are met, with limited engagement from the Trust administrative teams required. The provider must also provide access and analysis of the data collected through a user-friendly interface for the Trust to be able to review and understand the data being collected, enabling it to support strategic decision making. One of the core KPIs for the supplier will be ensuring that the Trust remains within the top categories for meeting its reporting requirements, and the provider is therefore expected to analyse and resolve any barriers to the achievement of these, in collaboration with the Trust. The supplier must be adaptive to changes to national reporting requirements and registries and ensure that the Trust remains compliant with these. - NHS England; - Private Healthcare Information Network (PHIN) - British Orthopaedic Foot and Ankle Society (BOFAS); - The British Society for the Surgery of the Hand (BSSH); - National Ligament Registry (NLR); - UK Knee Osteotomy Registry (UKKOR); - Non-Arthroplasty Hip Registry (NAHR); - The British Spine Registry (BSR); - The International Cartilage Regeneration and Joint Preservation Society (ICRS); and - Healthcare Quality Improvement Partnership (HQIP) through - NEC Software Solutions UK Ltd; Organisations who can provide software and the additional supporting services that meet these requirements need to email Christopher Dickenson - Procurement Manager (christopher.dickenson@royalberkshire.nhs.uk) introducing your organisation and your software & service offering.
