Summary of the contracting process

Thanet District Council is procuring a replacement backup solution platform and associated hardware for its servers, data and hardware. The requirement covers council data held on premises and in the Council’s Google environment. The supplier is expected to provide the platform, install it promptly, transfer the existing configuration and provide implementation support, enabling a smooth transition and continued compliance with the Council’s backup schedule and policies. This is primarily a software and information-systems supply requirement, with associated backup or recovery services. Delivery and implementation are for Thanet District Council in Margate, serving the Council’s operations across Kent. The procurement is categorised mainly as goods, with an additional services element.

The procurement has been awarded following a single-lot open procedure. Three bids were received, with two reaching the final stage. The award decision dated 14 July 2026 selected Softcat PLC, with an awarded value of £231,060 excluding VAT (£277,272 including VAT). The contract period recorded for the award runs from 7 August 2026 to 6 August 2031. The lot was evaluated on quality weighted at 60% and price weighted at 40%, and was identified as suitable for SMEs and voluntary, community or social enterprises. The original estimated value was £240,000 excluding VAT (£288,000 including VAT). The tender deadline was 18 May 2026 at noon, the enquiry deadline was 7 May 2026 at noon, and the planned award-period end was 5 June 2026.

This procurement demonstrates demand from Thanet District Council for enterprise backup technology covering both on-premises infrastructure and a Google environment. A credible future competitor would need to supply and support a replacement backup platform and associated hardware, with the technical ability to protect servers, data and hardware in line with defined backup schedules and policies. Relevant delivery capability includes prompt installation, migration or transfer of existing configuration, and implementation support that avoids disruption during transition. The requirement attracted three bids, including two final-stage bids from SMEs, indicating that smaller specialist suppliers can reach the later evaluation stage. Suppliers with experience delivering integrated backup or recovery software, storage and content-management systems, and dependable implementation services would be well placed for comparable work with this buyer.
