Summary of the contracting process

West Yorkshire Fire and Rescue Authority procured planned preventative maintenance and reactive repairs for access and security equipment across its estate of 40 fire stations and three adjoining close call houses throughout West Yorkshire. The services cover appliance bay doors, roller shutters, automatic doors, gates and barriers. The scope includes checking as-installed information, planned inspection and testing against operational and safety standards, reactive maintenance with a 365-day, 24-hour call-out service, and consequential works such as repairs, replacements, modifications and requested upgrades. The requirement was divided into two service areas: appliance bay doors and roller shutters; and automatic doors, gates and barriers. This is a building-installation repair and maintenance services opportunity delivered across West Yorkshire.

The procurement is complete and was run as an above-threshold open procedure. Lot 1 was awarded to Industrial Door Solutions Ltd on 6 August 2026 for £105,655.20 gross. Lot 2 was awarded to Boundary Gate and Barrier (Contracts) Limited on the same date for £24,472.80 gross. Both contracts run from 1 October 2026 to 30 September 2029, with two 12-month extensions available to 30 September 2031. The planned signature date for both awards is 2 September 2026. Each lot was evaluated on quality, weighted at 70%, and cost, weighted at 30%; both were identified as suitable for SMEs. Seven bids were received for Lot 1 and nine for Lot 2, with four and six respectively reaching the final stage.

This award demonstrates recurring demand from a fire and rescue authority for specialist maintenance of powered and manual doors, shutters, gates and barriers across a dispersed operational estate. A credible future competitor would need practical capability in both planned preventative maintenance and urgent reactive repairs, including a reliable 365-day, 24-hour call-out response. Experience of inspecting installations, testing operational and safety performance, diagnosing faults and delivering repairs, replacements, modifications and upgrades would be directly relevant. Suppliers should be able to manage accurate asset and as-installed information, coordinate attendance across multiple sites, and maintain service continuity in safety-critical fire station environments. The requirement was open to SMEs, and the strong quality weighting shows that delivery approach and technical competence matter more than price alone.
