Summary of the contracting process

St Christopher’s C of E (Primary) Multi Academy Trust procured managed ICT services for its schools in Devon. The requirement combines day-to-day technical support, systems management and ICT consultancy with responsibility for the Trust’s ICT environment throughout its lifecycle: strategic planning, implementation, maintenance, user support and ongoing improvement. The provider acts as the Trust’s single point of accountability for ICT support and liaison with third-party providers. The contract also covers procurement of IT hardware and replacement equipment. Service delivery is across the Trust’s operations in Devon; the procurement describes the potential for additional schools to join the Trust during the contract. The work is managed ICT support and computer-related services (CPV 72510000).

The procurement is complete and awarded following an open procedure. Soft Egg Limited was selected on 28 September 2026, at an award value of £1,000,000 excluding VAT (£1,200,000 including VAT). The single contract runs from 1 December 2026 to 30 November 2029, with two possible 12-month extensions, giving a maximum period to 30 November 2031. The stated value comprises £600,000 for managed services and £400,000 for IT hardware procurement, with inflation built in. Evaluation weighted quality at 55% and price at 45%; the quality assessment covered service delivery, support structure, hardware procurement, networks, strategic planning, reporting, safeguarding and compliance, sustainability, value for money, risk and mobilisation. Suppliers had to demonstrate UK GDPR capability and provide three relevant education-sector contract examples involving similar complexity and more than one site.

This award shows demand from a multi-academy trust for a single accountable ICT provider able to combine managed support with hardware procurement. A credible competitor for a similar requirement would need the people and technical resources to protect personal data and meet UK GDPR obligations, including secure, resilient systems and auditable processes for data-subject rights. Evidence of delivery in the education sector is important: the selection test required three comparable contract examples, with multi-site experience and similar complexity. Competitors would also need the capacity to support the full ICT lifecycle, manage third-party relationships, plan strategically, handle hardware replacement and maintain service levels across multiple schools. Strong mobilisation, safeguarding and compliance arrangements, transparent pricing, effective reporting and a demonstrable approach to continuity, cyber security and risk would align with the buyer’s requirements and evaluation priorities.
