Summary of the contracting process

Royal Botanic Garden Edinburgh is procuring bespoke exhibition display production, design and fit-out services for the Victorian Palm Houses at its Edinburgh garden. The requirement covers the production design, build and installation of interpretative displays and exhibition equipment. The appointed contractor will provide principal designer duties, production and project management, fabrication of exhibition structures, scenic model making, small-scale mechanical and electromechanical interactives, exhibition-unit electrical design and installation, structural advice, graphic production, audio-visual hardware supply, main-contractor duties, site mobilisation and installation. The contractor must manage health and safety, including risk assessments and method statements. Royal Botanic Garden Edinburgh will provide design-intent drawings, exhibit data sheets, graphic artwork files, audio-visual software and real artefacts for the displays.

The process reached tender: the buyer invited offers through an open procedure. It is a single-lot procurement with a value of £365,000. Offers were due by 29 September 2026 at 12:00 BST, with bid opening scheduled for the same time; the evaluation period starts then. The contract is planned to run from 9 November 2026 to 17 June 2027. Bids must remain valid for 90 days, be submitted electronically in English, and variants are not allowed. Quality carries 70% of the evaluation and price 30%. The buyer may require additional work and renewal if necessary. The procurement is covered by the Government Procurement Agreement and the specification and timelines have been amended.

This opportunity suits an exhibition fit-out contractor able to assemble and lead a multidisciplinary design team, rather than only deliver one specialist trade. Relevant capability includes exhibition production design, project and budget management, fabrication, scenic model making, interactive mechanical or electromechanical installations, structural advice, exhibition-specific electrical works, audio-visual hardware, site mobilisation and installation. The successful supplier must coordinate these activities and act as main contractor, while managing health and safety through suitable risk assessments and method statements. Experience of successfully forming and managing multidisciplinary teams on exhibition projects of similar scale and nature is expressly required. Work may be subcontracted, so firms with strong partner networks and the capacity to manage specialist contributors may be well placed to compete.
