This procurement is at the planning stage: the Trust has stated an intention to procure, but has not yet issued an invitation to tender. It expects to use the Artificial Intelligence Dynamic Purchasing System RM6200 and a single requirement. The estimated value is £3,240,000. The planned contract term is two years, with options to extend for a further two years. The Trust intends to create a supplier shortlist on 13 October 2026, issue a capability assessment on 14 October 2026 for return by 21 October 2026, and issue tender documents on 10 November 2026 to suppliers meeting the assessment requirements. These dates are indicative and may be amended. The process is subject to the GPA.

The requirement will suit suppliers with an established ambient voice or clinical speech technology platform that can generate reliable, structured clinical documentation and integrate with healthcare digital systems. Preparations should focus on performance in real clinical conditions, including noisy wards, shared spaces, community environments and variable connectivity. The system should distinguish speakers and accurately handle consultations involving multiple participants, carers, family members and interpreters. Suppliers should be able to demonstrate strong clinical safety, transparency, documentation quality, error reduction and support for efficient clinical workflows. Participation will require certification under NHS England’s Ambient Voice Technology Self-Certified Supplier Registry. Suppliers intending to compete should also prepare for the Artificial Intelligence Dynamic Purchasing System route and its capability assessment when the procurement reaches the market.

The solution should enable clinicians to capture consultations and generate structured clinical outputs including but not limited to documentation, clinical record notes, summaries, and correspondence, while integrating seamlessly into existing clinical workflows and digital systems. The aim is to reduce administrative burden and support more meaningful patient interactions, improving the overall patient experience through more engaged consultations, higher quality documentation, reduced errors, improved continuity of care, and shorter turnaround times for clinic letters and updates. It should also enable clinicians to spend more time focusing on the patient, while maintaining high standards of clinical safety, transparency, and documentation quality. The solution must support use across a range of real-world clinical environments, including inpatient wards, outpatient clinics, and community settings, where factors such as background noise, shared spaces, and variable connectivity may impact performance. The solution must also support consultations involving third parties (e.g. carers, family members, or interpreters), ensuring accurate capture, speaker differentiation, and appropriate inclusion within the output. The contract will be for 2 years with optional extensions for two more years.

The intention is for the tender documents to be issued on 10th November 2026 to those bidders who have met the capability assessment requirements. Berkshire Healthcare reserves the right to amend these dates.
