Summary of the contracting process

Guy's and St Thomas' NHS Foundation Trust procured servicing for its Pharmagraph environmental monitoring system, which monitors temperature, pressure and humidity in cleanrooms, fridges, freezers and other equipment. The service covers sensors used to monitor temperature, humidity and pressure across two cleanrooms, including a newly built cleanroom added to the system's scope. The work includes servicing, replacement or repair of sensors, annual sensor recalibration, technical support for alarms and software, and two engineer visits each year. This is specialist maintenance of medical monitoring equipment (CPV 50421000), delivered for the Trust's facilities in the United Kingdom.

The procurement is complete and was awarded by direct award to Acquisition System Ltd, the supplier trading as Pharmagraph. The Trust's stated reason was that Pharmagraph is the original equipment manufacturer and the only authorised supplier able to provide manufacturer-approved servicing, proprietary parts, specialist technical expertise, software updates and system-specific supply. The award date was 25 September 2026. The contract period runs from 25 September 2026 to 29 June 2029. Its awarded value is £135,707 excluding VAT (£162,848.40 including VAT). The procurement is one lot, covering the described monitoring-system maintenance for both cleanrooms.

For suppliers assessing future demand from Guy's and St Thomas' NHS Foundation Trust, this award indicates a continuing requirement for specialist maintenance of Pharmagraph environmental monitoring systems in cleanrooms. The work calls for the ability to service, replace, repair and recalibrate sensors monitoring temperature, humidity and pressure, support the associated alarm and software systems, and provide scheduled engineer attendance. The Trust's stated reliance on the original equipment manufacturer reflects a requirement for authorised servicing, proprietary parts, system-specific technical expertise and software updates. A competitor would need to demonstrate access to the relevant system knowledge and manufacturer-approved support, as well as the engineering capacity to maintain monitoring across two cleanrooms and provide the required recurring service visits.
