Summary of the contracting process

Lancaster University intends to procure a software system to manage student accommodation, conferences, hospitality and residential services. The purchase is categorised as goods, specifically software and information systems. The university is seeking a multifunctional solution across these operational areas, and is conducting preliminary market engagement to understand the range of available systems and refine its requirements. The buying organisation is Lancaster University, based at Bailrigg in Lancaster. The requirements relate to the university’s accommodation, conference, hospitality and residential management; the procurement data does not identify a separate delivery location.

The procurement is at the planning stage: Lancaster University has announced its intention to buy, but has not invited tenders. It plans a preliminary market engagement exercise to learn about available solutions. Suppliers interested in participating were asked to request the requirements and a response form by email; the buyer’s stated return date for engagement information is 15 October 2026 at 5pm. The expected contract period is 1 February 2027 to 31 January 2030, with an extension possible to 31 January 2032. The estimated value is £660,000 excluding VAT (£792,000 including VAT), based on a multifunctional system over three years. There is one lot, and small and medium-sized enterprises and voluntary, community and social enterprises are marked as suitable.

This planned purchase is relevant to software suppliers with products that support several university operations in one system: student accommodation, conference management, hospitality and residential management. Providers able to demonstrate a configurable, multifunctional platform spanning these areas are likely to be well placed to contribute to the market engagement and help the university shape its requirements. The buyer is seeking to understand the range of solutions available, so suppliers with relevant product knowledge and experience delivering comparable systems to higher education or other complex organisations may have useful evidence to share. The procurement is marked suitable for small and medium-sized businesses as well as voluntary, community and social enterprises, indicating that the buyer considers suppliers of these types potentially capable of meeting the requirement.
