Summary of the contracting process

Liverpool City Region Combined Authority is buying a refresh of the audio-visual and webcasting equipment in its Authority Chamber. The requirement is for a complete review and overhaul of the existing installation, replacing or updating equipment to provide a more modern, flexible, user-friendly and robust system. Suppliers are expected to consider consolidating or integrating components where possible. The work covers audio-visual equipment and its installation, for the Authority Chamber in Liverpool City Region. The existing solution was installed in 2018 and refreshed in 2022; this procurement is intended to meet the Authority’s requirements going forward.

The Authority invited offers through an open procedure. The tender submission deadline was 6 November 2026 at 11:00 UTC, with the award decision scheduled by 17 November 2026. The contract is due to run from 14 December 2026 to 13 December 2029, with options to extend for years four and five, up to 13 December 2031. The estimated value is £220,000 excluding VAT (£264,000 including VAT). There is one lot. Evaluation is weighted 70% on quality and 30% on price. Electronic submission is allowed, and submissions must be in English.

Notice Description

Liverpool City Region Combined Authority is embarking on a refresh of the Authority Chamber Audio-Visual Equipment. The current solution was installed initially in 2018 and then further refreshed in 2022. We require a complete review and overhaul of the existing suite of equipment to provide a more modern and flexible solution, that will meet the organisation's requirements going forwards. Consideration should be given to making the solution user friendly and robust, whilst consolidating / integrating any components where possible.

Options: Additional purchases of equipment or services during the lifetime of the contract that are in scope of the contract and specification.

Renewal: LCRCA can opt to use the optional extension periods of the contract for YR 4 and YR 5 of the contract.
