Dumfries and Galloway Council, wishes to procure a new Museum Collections Management System for its Arts and Museums Service to replace the current Texpert system which is now obsolete and no longer supported by its vendor. The collections cared for by Dumfries and Galloway Arts and Museums Service are estimated at some 250,000 items, ranging from herbarium specimens and archaeological excavation assemblages to glass plate negatives and manuscripts by the poet Robert Burns. The Arts and Museums Service's current collections management system holds 89,000 records and is a vital tool in the management of the museums' collections and the provision of information to the public. All existing records held on the current system will be required to be migrated to the new system. The procurement will involve the implementation and installation of a new system which meets the Council's requirements as listed in our Specification of Requirements and also the migration of our existing records held in the current system. The new collections management system must be fully SPECTRUM compliant and follow all current collections management system standards. It will provide - -Fast access to collections information for enquiries, exhibitions and research -Integrated conservation, pest management, and condition checks and loans information to allow pro-active care of collections -Easy import from and export to MS Office programmes -Thesaurus management and validation files -Report and index generation -Facility to search individual fields and globally across the database -Pre-determined access rights for different user groups, including volunteers -Remote access/sign in and the ability to download to laptop and then upload data for venues with no internet access -Links to external text, digital and multimedia files -10 concurrent user licences -Compliance with Dumfries and Galloway Council's security and IT protocols -Ability to move easily to another system in the future
