Summary of the contracting process

Historic Environment Scotland procured specialist support and maintenance for audio-visual equipment at the Engine Shed in Stirling. The service covers biannual preventative maintenance visits, an emergency call-out service, returns-management authorisation (RMA) administration and access to a global helpdesk. It also covers the bespoke software application developed specifically to operate the auditorium, together with the specialist legacy equipment installed there. The requirement is for services in the audio-visual and technical support field, within the broader category of computer and related equipment maintenance (CPV 50300000). Historic Environment Scotland is the buying organisation, and the work is focused on the Engine Shed site in Stirling, with provision for additional deliveries to partially replace or extend existing supplies and installations.

This procurement has been awarded and the contract is active. Historic Environment Scotland used a limited procedure without prior publication of a competition call, relying on the stated absence of competition for technical reasons. The selected supplier was Electrosonic Ltd, the original installer of the system. The contract was signed on 16 September 2026 and is valued at £37,000. Its duration is 24 months, with an option to extend by a further 12 months. The requirement was evaluated on the basis that the specialist legacy equipment, its required support and maintenance, and the bespoke auditorium software could only be provided by the original installer. There was one lot, covering the complete support and maintenance service at the Engine Shed.

This award indicates demand from Historic Environment Scotland for suppliers able to maintain complex, specialist audio-visual installations in heritage or visitor-attraction settings. A credible competitor for a future requirement would need demonstrable expertise with legacy AV equipment, auditorium control systems and bespoke software, supported by suitably skilled technical engineers. Operational resilience is important: the service model combines planned preventative maintenance with emergency call-outs, RMA administration and helpdesk support, so suppliers would need responsive fault handling, structured parts or equipment-return processes and reliable customer support. Experience of maintaining systems originally designed or installed by another provider would help address the technical continuity issue identified in this procurement. The requirement also favours businesses able to support replacement, extension and integration of existing installations rather than supplying standalone new equipment.
