Argyll and Bute Council is seeking the provision of a Managed Media Service and AV System for funeral ceremonies held at Cardross Crematorium. The project requires a specialist audio-visual provider with experience in the UK Crematoria industry to administer and manage the specified services. The project brief requires a specialist audio-visual provider with experience in the UK Crematoria industry to administer and manage the following services: 1. An off the shelf solution with a proven track record within a Crematoria environment to include a highly automated process with minimal manual input required from venue staff. 2. Provision, installation, commissioning, servicing and maintenance of all necessary hardware and software on site. 3. Operation of audio, visual, live streaming and recording equipment at 800 plus funeral ceremonies, in line with all Council health and safety guidelines and risk assessments. 4. Dedicated customer support to Venue Staff, Funeral Directors and families. 5. Access to a professional music library from which customers can select music to use during ceremonies, including the management of audio during ceremonies and all licencing required for using the library for live and recorded events. 6. Full management of the audio and visual aspects of ceremonies, including advising customers how to access live streams, and advising those attending in person of the necessary data privacy and security arrangements. 7. Secure provision in suitable formats of recordings of ceremonies to end customers. 8. An itemised price list of all available media services, fixed at each contract anniversary and increasing annually by an agreed indexation. 9. Terms and conditions covering all services set out for funeral directors and customers, including a clear disputes and resolution procedure if service quality is queried or challenged. 10. A statement of all facilities that the Council are required to provide, including power, and site access. For full details on specification of requirements, please refer to the attached Tender Document.. The Council recommends that bidders attend a site visit prior to returning a tender submission. A site visit will be held on Wednesday 16th September 2026 between 12:15 - 2:15pm. If the above date and time is not feasible, please notify the Council via the Public Contracts Scotland Website Question & Answer section.
Renewal: Option to extend for a further 12 + 12 months.
