Summary of the contracting process

Transport for Wales and Transport for Wales Rail are planning the Public Transport Summit 2027, a public transport industry event at Swansea Arena. The summit will bring together transport leaders, policymakers, industry experts and wider stakeholders to discuss the future of public transport across Wales and the Borders. Its programme is expected to include panel discussions, keynote speeches, workshops, networking, exhibition space and an innovation area. Participation routes include sponsorship, exhibition, innovation participation and attendance. The subject covers public transport, transport infrastructure, connectivity, bus franchising, investment, safety, accessibility, inclusion, sustainability and innovation. The event is intended to support collaboration between the public, private and third sectors and to encourage integrated transport development and wider economic and social benefits for communities.

This is a planning-stage market engagement exercise, not a procurement or call for competition. Transport for Wales expects to use responses to plan event capacity, allocate sponsorship and attendance opportunities fairly, and identify organisations for follow-up. Expressions of interest are requested by 20 October 2026, with the buyer's next notice currently expected by 31 December 2026. The planned participation period runs from 1 February to 18 June 2027, with the summit taking place on 16–17 June 2027. Indicative participation prices are approximately £40,000–£50,000 for a headline partner, £20,000–£25,000 for each official partner, £7,500 for an exhibitor, £3,000–£5,000 for a supporter, £1,500–£2,000 for an Innovation Lab participant, £10,000–£15,000 for a VIP dinner sponsor, and £5,000 for welcome drinks sponsorship. Two-day attendance is priced at £300 for private-sector organisations and £240 for public-sector organisations.

The engagement will suit organisations connected with transport or the summit themes, particularly businesses able to sponsor, exhibit, demonstrate innovation, contribute to workshops or provide industry expertise. Potentially relevant capabilities include public transport operations and services, transport equipment, infrastructure and construction, engineering and inspection, telecommunications networks and equipment, research and development, consultancy, and supporting transport services. Suppliers with experience in connectivity, bus franchising, future investment, accessible and inclusive transport, safety, sustainability or transport innovation should be well placed to shape the event and present their work. Small and medium-sized enterprises and voluntary, community and social enterprise organisations are explicitly considered suitable. VCSE organisations can seek free attendance tickets by confirming their eligibility in their response. Participation should be treated as preparation and market engagement rather than a bid for contract award.
