Summary of the contracting process

Liverpool City Region Combined Authority is seeking one supplier to provide an integrated audio-visual, digital signage and visitor management solution. The requirement combines a modern cloud-hosted system for booking meeting rooms and car parking, replacing the Authority’s existing solution, with new audio-visual equipment for meeting rooms across its estate, including the larger ground-floor auditoriums at Mann Island headquarters. It also includes a digital signage solution. The work covers equipment, software and installation services, with delivery in the Liverpool City Region. Suppliers need to be able to deliver and support the combined system as a whole through a single-supplier arrangement, rather than bidding to provide only one of the separate components.

The Authority invited offers through an open tender procedure. The deadline for questions was 11 November 2026 at 10:00, and the deadline for bids was 18 November 2026 at 10:00; bids could be submitted electronically in English. The estimated contract value is £300,000 including VAT. The planned contract period is 22 March 2027 to 21 March 2030, with two optional 12-month extensions, giving a possible end date of 21 March 2032. There is one lot.
