Summary of the contracting process

Impact Multi Academy Trust, which operates eight schools across the London region for approximately 8,000 students, procured a single contractor for fire and security servicing and maintenance across its school estate. The service covers planned and reactive maintenance, including fire alarms, burglar alarms, fire-prevention systems, fire extinguishers, video surveillance, access control, communications equipment, lighting systems, devices for disabled people, and associated doors, windows and metal joinery. The requirement is a managed school-estates safety and compliance service, combining inspection, repair, maintenance and installation activity. Delivery is across the Trust’s sites in the London region. Cohesion Consulting Limited managed the procurement for the Trust. The selected supplier is Alpha Facilities Management and Security Ltd, an SME based in Orpington.

The procurement is complete and was awarded to Alpha Facilities Management and Security Ltd on 24 March 2026; the contract is active and was signed on 1 April 2026. The award and contract value is £104,486 excluding VAT and £125,383 including VAT. The contract runs from 27 April 2026 to 31 March 2029, with an option for two one-year extensions, subject to satisfactory performance and agreement on budgets and service levels, giving a maximum extent date of 31 March 2031. It used a single-lot, one-stage open procedure under the Procurement Act 2023, described as a competitive flexible procedure. Nine bids reached the final stage. Price formed part of the award criteria, with the detailed criteria set out in the tender documents. Invoices are payable within 30 days.

This award demonstrates recurring demand from a multi-academy trust for an integrated fire and security compliance service across a sizeable, multi-site school estate. A credible competitor would need to combine planned and reactive servicing with practical capability in fire alarms, fire extinguishers, fire-prevention systems, intruder alarms, CCTV, access control and related safety infrastructure. The requirement favours a single provider able to coordinate different technical disciplines, maintain reliable response arrangements and carry out installation and repair work where needed. Experience of delivering safe, compliant and well-managed services in occupied educational or other public-sector premises would strengthen a future proposition. Suppliers should also be able to evidence service quality, implementation arrangements, performance monitoring and service improvements, while managing safeguarding and site-access requirements associated with schools.
